The terms on which Arctic Vela Hotel Oy accepts your booking and welcomes you to Luotsikatu 12.
These terms apply to every reservation made with Arctic Vela Hotel Oy (Y-tunnus 3427915-4), Luotsikatu 12, 00160 Helsinki, Finland, whether booked through our website, by email or by telephone. By confirming a reservation you accept them on behalf of everyone in your party. If anything here is unclear, please ask reception before you book — we would far rather explain it in advance than at checkout.
Rates are quoted per room per night and include breakfast at Restaurant Ahti and Finnish value added tax. They do not include dinner, treatments, experiences or other extras unless the offer says so.
Every reservation must be guaranteed with a valid payment card at the time of booking, and we may place a pre-authorisation on that card to verify it. Unless the rate you have chosen is charged in advance, payment is taken on departure, together with any extras charged to the room.
Flexible rates may be cancelled or amended free of charge until 18:00 local time on the day before arrival. After that time, and for any cancellation made on the day of arrival itself, the first night of the stay is charged to the card held on the booking.
Non-refundable rates are charged in full at the time of booking and are not refunded or transferred if you cancel, change your dates or shorten your stay. Please cancel in writing to bookings@arcticvelahotel.com, or by telephone to reception, and keep the cancellation number we give you.
If you do not arrive and have not cancelled, we charge the full first night and release the remaining nights of the reservation. If you leave earlier than booked on a flexible rate, please tell reception as soon as you know; one night may be charged in lieu of notice.
Check-in is from 15:00 and checkout is by 12:00. Reception is staffed around the clock, so a late arrival is never a problem — simply let us know roughly when to expect you.
Early check-in and late checkout are subject to availability on the day and may carry a charge. Guests who book direct with us receive late checkout free of charge on Sundays, again subject to availability. Luggage may be left with reception before check-in and after checkout at no cost.
Finnish law requires the hotel to register every guest staying overnight. Each guest therefore completes a registration card on arrival and presents valid photo identification — a passport, national identity card or driving licence. We are not able to hand over a room key without this. Registration details are kept for the period the law requires and are handled as set out in our privacy policy.
The guest named on the reservation must be at least 18 years old and is responsible for the conduct of the whole party.
Children of all ages are welcome. Cots are provided free of charge and should be requested in advance, as numbers are limited. An extra bed can be added to the Vela Corner Suite at €45 per night including breakfast; our other room types do not take extra beds.
Small dogs are welcome in selected rooms at €35 per night by prior arrangement — please ask when you book, as pet-friendly rooms are limited. Dogs may not be left alone in a room and are not admitted to the restaurant or the wellness areas. Assistance dogs are welcome throughout the hotel at no charge.
Guests are responsible for any loss or damage caused to the hotel, its rooms, its furnishings or its equipment by themselves or by anyone in their party, and we may charge the reasonable cost of repair or replacement to the card held on the booking. We ask all guests to respect the quiet of the building, particularly between 22:00 and 07:00, and we may end a stay without refund in cases of serious or repeated disturbance.
The hotel is entirely non-smoking, including all rooms, the balconies and the terrace, and this applies to electronic cigarettes as well. A cleaning charge of €250 is made for any breach.
Use of the saunas, the avanto ice-swimming hole and the hot tubs is at the guest's own risk. Heat and cold-water immersion place real demands on the body, and guests should consider their own health first and take medical advice if they are in any doubt, are pregnant, or have a heart or circulatory condition. Alcohol and the sauna do not mix. Children must be accompanied by an adult at all times.
The avanto is closed whenever our staff judge the ice or the water unsafe, and their decision is final. Boat trips and outdoor experiences depend on the weather and on sea conditions; if the hotel cancels an experience, it is refunded in full or moved to another date, whichever you prefer. Experiences cancelled by the guest less than 24 hours before departure are charged in full.
We are liable for loss or damage caused by our own negligence to the extent required by Finnish law, and nothing in these terms limits liability for death or personal injury caused by our negligence. We are not liable for indirect or consequential loss, nor for valuables left unattended in public areas; a safe is provided in every room and reception can store items for you.
We are not liable for any failure to perform caused by circumstances beyond our reasonable control, including severe weather, sea ice, fire, flood, power or water failure, strike, public health measures or the acts of public authorities. Where such circumstances prevent us from providing the accommodation booked, we will offer a comparable alternative or refund the sums paid for the affected nights.
These terms are governed by the law of Finland. If a matter cannot be settled with us directly, it is heard by the Helsinki District Court (Helsingin käräjäoikeus).
A consumer may also refer a dispute to the Finnish Consumer Disputes Board (kuluttajariitalautakunta), and is advised to contact the Consumer Advisory Service first. A consumer may in addition bring proceedings before the court of the district in which they live.
